Privacy

What we collect

• Contact form submissions. Your name, email, phone number if you provide it, the subject you choose, and your message.
• Owner portal accounts. Your name, email address, unit number, phone number if you provide it, your role, and a password that is stored only in scrambled form, so no one at the association can read it. When an administrator approves your registration, the approval is recorded with the date and who gave it.
• Records you open. When you open or download a document in the portal, the system records which document, which account, and when. The association keeps this so it can show who has seen which record.
• Technical information. The companies that host this website automatically record routine technical details, such as your IP address, browser, and the pages requested, in server logs used for security and troubleshooting.
• Cookies. This site uses only the cookies it needs to work: one that keeps you signed in to the portal, and one that remembers your language choice. It does not use advertising or tracking cookies, and it does not run analytics.

How it is used

Information is used only to operate the association's website and portal: to answer your inquiry, to verify that you are a unit owner, to give you access to association records, to keep the portal secure, to send account emails such as address confirmation and password resets, and, unless you turn it off in your account settings, to tell you about new postings. The association does not sell this information or use it for advertising. Owners' email addresses are used only for the business of the association.

Who can see it

Portal account information is visible to the board and to the administrators and managers it designates, and to the technical administrator who maintains this website for the association. Other unit owners cannot see your contact details through this website.

Companies that help run this website

The association uses outside companies to run this website: Vercel (hosting), Supabase (database, sign-in, and private file storage), and an email delivery service (to forward contact-form messages and send account emails). They handle information on the association's behalf, only to provide those services, on servers in the United States. The association does not share your information with anyone else, except where the law requires it.

How long it is kept, and your choices

Contact-form messages and portal account details are kept for as long as the association needs them for the purposes above and as Florida law requires it to keep its records. You may ask the board to correct your details or to close your portal account, and it will do so unless the information must be kept as part of the association's official records.

Association records

Records posted in the owner portal are the official records of the association. Protected or confidential information is redacted before a record is posted. If you believe a posted document contains information that should have been redacted, tell the board immediately and it will be withdrawn from the portal while the matter is reviewed.

Security

The portal is password protected, and owners can add two-factor sign-in in their account settings. Documents are stored privately and served only through short-lived links to signed-in, approved owners, and traffic is encrypted in transit. No website can be made completely secure, so please use a password you do not use anywhere else. If the association learns that your information has been exposed, it will notify you as Florida law requires.
